The fish oil softgel RFQ checklist: 12 inputs that prevent quote confusion.

A supplier can only quote the product you actually mean when the formula, finished format and delivery basis are explicit. Copy this checklist into your procurement brief and mark unknowns as open questions.

Product target

  1. Active declaration: target EPA and DHA separately; state per capsule, per serving or per daily intake.
  2. Oil specification: intended form/concentration, source requirements, ingredient statement and any reference specification.
  3. Fill weight: fish oil per softgel, separate from EPA/DHA active amounts.
  4. Capsule: oval/oblong or reference sample, target dimensions/size, shell material and any coating requirement.
  5. Formula: single-ingredient fish oil or stated additional ingredients, with target amounts and label basis.

Finished pack

  1. Serving and count: softgels per serving and per bottle/blister.
  2. Packaging: bottle or blister, material, closure, label, carton and language scope.
  3. Channel: retail, ecommerce, pharmacy, distributor or other channel that affects presentation and pack constraints.

Market and evidence

  1. Destination: country of import and local responsible importer; do not write only “EU” or “Middle East”.
  2. Claims: proposed label and promotional claims for local review; do not presume disease or treatment claims are permitted.
  3. Documents: identify each requested certificate, test result, batch record or statement and whether it must relate to the offered product or lot.

Commercial basis

  1. Quantity and terms: first order and forecast, sample needs, requested ship window, destination, Incoterm, currency and inclusions/exclusions.
RFQ discipline: Ask suppliers to list assumptions and exclusions. A price without a product basis and delivery basis is not a comparable quote.

Next: compare quotations fairly or review softgel specification variables.
